Automated Shopify order confirmation via WhatsApp API

Our system can automatically send a message to confirm the order once it's created on Shopify and synchronized to POS! This will help to reduce your order return rate up to 60%.

1. Requirement

In order to create a seamless automation flow, you need to make sure the following conditions are in place:

  1. Your Pancake, POS and Botcake Accounts are fully functional

  2. Your POS Account has been connected with Shopify, and contain at least 1 WhatsApp API page.

  3. Your Shopify subscription needs to have Custom Level 2 PII apps, which means your store must be on the Shopify plan or higher. This automation will not work if you only have the Basic plan.

2. Connect the POS shop with your Shopify Account

After connecting your Shopify Account to POS, please make sure that the orders from Shopify are synchronized perfectly (with the client's phone number - otherwise we will not know where to send the message :D)

3. Setup an automation Sequence on Botcake

Since you are sending a message to the new clients (they have never interacted with your business via WhatsApp), it is advised that you use WhatsApp API template for the confirmation.

First, you need to determine what you want to send to the customers and then create a proper template with variations.

In Botcake, go to the "Sequence" section and select "Create new".

Click on the button to create a new sequence timeline.

Select the delay time when the sequence is triggered. The advised time to select is "NOW" in order to send the message out as soon as possible.

Example: If you choose the time to be 1 minute, the system will wait for 1 minute before triggering the flow in the sequence timeline.

Next, create a new flow to attach the message you want to send to your customers. Since this is the first time you are interacting with them through your WhatsApp number, the message must be an approved WhatsApp template.

Select the Template button.

Select the template which you have prepared to be sent to confirm the order. Remember, the content of the flow can only contain the template, no additional forms of message. The order's information is saved in POS, so make sure to select the variation in the POS section.

After you're done, please double check and save the flow.

Go back to the Sequence setting and activate the flow. You can set more messages/actions to follow the same set of users.

4. Setup the automated notification on POS

In order to send a confirmation message, we will base on the status of the order in POS. All Shopify order will be synchronized to Pancake in "New" status, so this will be the trigger for the automated message.

On POS, go to the Setting section and Select "Pancake"

Click the "Add" button

Select the "Botcake" tag, and configure the automation flow. - Title link Botcake: Title of the automation, to be distinguished with others. - Use when: Automation trigger. In this case, the trigger will be Order status > New - Order source: leave blank to select All source, or select Shopify to be more specific - Select partners: leave blank.

Select the WA API number to be sent from, and the Sequence you just set up on Botcake.

Once it's done, click Save and watch the magic happen!
