Auto-send WhatsApp message to New Pancake CRM Entries
You can combine Botcake and Pancake CRM to automatically send an order confirmation/greeting, thank you message to the customer's WhatsApp number. Here's how:
1. Preparation
Please double check the following conditions to make sure your account is ready for setup:
1.1. Botcake account
Make sure your WhatsApp API on Botcake is fully functional.
1.2. Pancake account
Make sure your WhatsApp API on Pancake is fully functional.
1.3. CRM account
Make sure the WhatsApp API's store type is CRM before doing the setup.
You can do this by:
Click on the "Orders" button
If the page is shown as the picture below, it's the correct CRM type, please skip to section 2.
If the page is shown as the picture below, then it's NOT the type.
In this case, please go to the setting section, and change the store type to CRM.
Change the Target marketplace to the correct country your business is operating. The country code of your customer's phone number by default will be the first country selected in the list.
In the picture, there are two countries which the store is operating, but India was selected first, so the default country code to be sent out is +91 (India).
You're all set! Let's set up the platforms!
2. Setting up the platforms
Step 1: Create a Sequence in Botcake
First, you need to determine what you want to send to the customers.
In Botcake, go to the "Sequence" section and select "Create new".
Click on the button to create a new sequence timeline.
Select the delay time when the sequence is triggered.
Example: If you choose the time to be 1 minute, the system will wait for 1 minute before triggering the flow in the sequence timeline.
Next, create a new flow to attach the message you want to send to your customers. Since this is the first time you are interacting with them through your WhatsApp number, the message must be an approved WhatsApp template.
Select the Template button.
Select the template which you have prepared to be sent to the new entries on CRM. Remember, the content of the flow can only contain the template, no additional forms of message. After you're done, please double check and save the flow.
Go back to the Sequence setting and activate the flow. You can set more messages/actions to follow the same set of users.
Step 2: Create & setup a table in the CRM.
Create a new table to save the customer data
Then go back to the Customize section, and customize your table.
Pancake CRM is fully customizable, so you can add all the data fields you need.
To trigger an automated sequence in Botcake, we will need a trigger. The trigger can be anything to your liking. In this example, we will cover the most common trigger, which is Lead's status (New, Consulting, Closed,...)
The status will be options in a field, so let's use "Select one option".
You can add the statuses in the option, but make sure to: - Select a default value, so every new entry by default will have this value, thus trigger the flow by default. - Tick the "IS REQUIRED" box, so it is compulsory to fill this field when creating the new CRM entry.
Don't forget to add the Phone number field, we need the customer's WhatsApp phone number to send the message!
After you're done, don't forget to Save the table.
Step 3: Configure the automated message in CRM
Go to CRM Configuration -> Automated message -> Facebook and click Add
Configure the automated campaign, make sure to set up the trigger correctly.
In this example, we have set the system to send the "New CRM Entry" sequence from Botcake every time there is any new entry in the "Outsource Leads" table.
Step 4: Test the configuration
To test the automated configuration, simply go to Pancake and create a new record, or create the record directly on CRM.
